Overview

We are seeking a dynamic, positive, and enthusiastic Events & Communications Manager to join our team. In this role, you will be responsible for planning and executing company events and larger quarterly gatherings designed to foster employee engagement and strengthen our company culture. You will ensure that all events align with our core values and promote a positive sense of community within the organization. You will also assist the leadership team with administrative duties when needed.

 

The salary range for this position is $80,000 to $100,000 with additional earning potential.  The Company offers insurance coverage that includes medical, dental, vision as well as 401(k) with employer match.

Responsibilities

Event Planning:

  • Organize and coordinate team building events two or three times per month, customer events, and larger quarterly company gatherings.
  • Collaborate with cross-functional teams to gather input and ideas for events that reflect our company values.
  • Develop event themes, agendas, and activities that enhance employee engagement.

Event Logistics Management:

  • Manage all logistical aspects of events, including venue selection, catering, equipment, and transportation.
  • Coordinate with vendors and partners to ensure successful execution of events.
  • Plan meals and travel arrangements for internal trainings and meetings when needed.

Event Budget Oversight:

  • Prepare and manage event budgets, ensuring cost-effective planning and execution.
  • Track expenses and provide reports to management.
  • Negotiate contracts with vendors and service providers. This may extend outside of events to helping support the vendor selection of the Goshen office.

Event Communication and Promotion:

  • Create and distribute event communications, including invitations, agendas, and follow-up materials.
  • Promote events through internal channels to maximize participation and inclusion.
  • Ensures that our communications and promotions are inclusive to all of our employee groups.
  • Assist leaders with presentation development when needed.

Event Feedback and Evaluation:

  • Gather feedback from participants post-events to assess effectiveness and gather insights for future improvements.
  • Analyze feedback and make recommendations for future events based on employee interests and company goals.

Cultural Alignment:

  • Ensure that all events embody and promote the company's values and mission.
  • Foster a positive and inclusive atmosphere that encourages employee participation.
  • Create a culture that incorporate our companies’ values with the focus being on employee connections
  • Partner closely with the Western Milling Human Resources Business Partner and Western Milling Cultural Development Council Leads as it relates to culture and connecting employees.
  • Other duties as assigned

 

Executive Assistant

  • Create and oversee internal and external business communications to ensure alignment with our messaging and culture.
  • Scheduling: manage executive calendars, appointments, meetings, and travel arrangements as required.
  • Coordinate Goshen office layout including seating assignments and conference room availability by working with various department managers.
  • Maintain strict confidentiality and discretion with all materials and relationships.

Qualifications

  • A high school diploma or GED is required.
  • Bachelor’s degree in marketing, public relations, communications, human resources or related field of study preferred
  • 10+ years of prior experience in event planning preferred

Skills

  • Ability to be a positive leader and influence others through positive communications and interactions.
  • Proven experience in event planning and coordination.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Creative problem-solving skills and a proactive approach to challenges.
  • Proficient in Microsoft Office Suite, event management software, and Adobe Acrobat.
  • Ability to prioritize and plan work activities to meet established deadlines.
  • Other administrative duties associated with event planning or cultivating culture among the organization.

Physical Requirments

  • Intermittently standing or walking at events for prolonged periods of time.
  • Regularly moves items weighing up to 10 pounds, and occasionally up to 45 pounds.
  • Frequently required to: sit for prolonged periods of time, reach for/manipulate standard office equipment, communicate with various staff and/or reach for and manipulate objects.
